How to Take Bookings on WhatsApp

Learn how WhatsApp booking actually works: share a real booking page over WhatsApp, then automate confirmations and reminders on SurveyKar.

You already know this: your customers expect to book an appointment in the same place they already message you, on WhatsApp, rather than hunting for a separate booking website. This guide covers whatsapp booking the honest way, in 4 steps: where the actual scheduling happens, how WhatsApp fits around it, and how to automate confirmations and reminders so a booking made through a WhatsApp conversation gets treated exactly like any other.

One thing worth saying upfront: this isn't about typing a date into a WhatsApp chat and watching a calendar appear inside the message bubble. What actually works, and what this guide walks through, is sharing a real booking page over WhatsApp, letting the customer pick 1 of your open slots there, and then using WhatsApp for everything around the booking, the link, the confirmation, the reminder and the follow-up.

What "WhatsApp booking" actually means in practice

A booking needs a calendar, availability rules, buffers between appointments, and often payment, and those just don't fit cleanly inside a chat bubble. That's what SurveyKar's Bookings module handles: a public booking page per appointment type, with configurable duration, buffers, minimum notice, and how far out your customers can schedule.

WhatsApp's job is to get the customer to that page in 1 tap, with as little friction as possible, and then to handle every message around the appointment, the confirmation, the reminder, the "something changed" notice, on the 1 channel they're most likely to actually read.

Step 1: set up your booking page

Before WhatsApp enters the picture, get the booking page itself right in Bookings. Create 1 appointment type per service, a consultation, a trial class, a service visit, with its own duration and buffer time, then set your availability for each of your team members. SurveyKar only ever offers real openings based on those hours, so there's 0 manual back-and-forth confirming a slot is free.

You'll also choose 1 of 3 location modes, video, phone or in-person, with a meeting link auto-attached for video appointments. If you charge for the appointment, turn on Razorpay checkout at scheduling time, the slot is held for 10 minutes while payment completes, and it releases automatically if payment doesn't finish inside that 10-minute window. You can add up to 10 short custom questions too, if you want context before the call or visit, what they need, how they heard about you.

Each appointment type gets its own shareable link, 1 per service. That link is what you'll send over WhatsApp.

Step 2: connect your WhatsApp Business number

Set up SurveyKar's WhatsApp CRM by connecting your own WhatsApp Business phone number through the official Meta Cloud API, with a guided webhook setup. This matters for 2 reasons. First, your booking link and confirmation come from your actual business number instead of a shared or generic one. Second, any reply a customer sends back lands in a real two-way inbox your team can see and answer, not a dead end.

Once both pieces exist, there are 3 ways to get the booking link into a WhatsApp conversation. Option 1: put it in your WhatsApp Business profile or click-to-chat greeting, so anyone who messages you sees it right away. Option 2: use it as the button on an approved WhatsApp template, if you're starting the conversation yourself, inviting a contact list to book a trial session, for instance. Option 3: send it mid-conversation, when a customer asks "can I book a slot?" and your team, or an automation triggered by a keyword or a chatbot lead, sends the link directly in the reply.

The customer taps the link, lands on the real booking page, picks 1 open slot, and, if it's a paid appointment, pays through Razorpay in under 10 minutes. The booking itself happens on that page, with the full calendar and availability logic. WhatsApp just got them there without an extra app download or a web search.

Step 4: automate what happens after the booking

This is where WhatsApp booking stops being "send a link" and starts being an actual system you don't have to babysit. A "Booking created" event can trigger an automation flow you build once, and "Send WhatsApp" is available as an action step inside that flow.

A simple setup looks like this: the trigger is Booking created, the action sends a WhatsApp confirmation immediately using an approved template with the appointment details, and a delay plus a second action sends a reminder a set time before the appointment. You'd also want a separate flow for Booking cancelled or rescheduled, notifying the customer, since every confirmed booking already includes a self-serve manage link so they can reschedule or cancel without calling you.

Every confirmed booking gets an automatic email reminder within the 24 hours before it starts, with no setup needed on your end. Layer a WhatsApp reminder on top, through the automation, and you're just making sure the customer gets reminded on whichever of the 2 channels they're more likely to actually see.

A concrete example: a trial class booking flow

A gym or studio running trial-class sign-ups might wire this up like so. They share 1 trial-class booking link in the WhatsApp Business profile and in reply to any inbound "do you have trials?" message. The customer taps the link, picks 1 of the available slots (duration and buffer already configured so 2 trials don't run into each other), and books, no payment needed for a free trial. Then 2 automations take over: Booking created triggers a WhatsApp confirmation with the address and what to bring, and 2 hours after the trial ends, a second automation asks for a rating or whether they want to book a membership, with a link straight to the pricing or next-booking page.

The gym never has to manually text a confirmation or chase a no-show reminder, it's the booking event that handles it, and WhatsApp's just the channel the message rides on. You can build the same setup for your own business the same way.

    What to watch out for

Templates need Meta approval before they can be used, so set up your confirmation and reminder templates in WhatsApp CRM ahead of time. Don't wait until a customer's already booked to find out your template isn't approved yet. There's also the 24-hour messaging window to keep in mind: WhatsApp only allows free-form replies within 24 hours of the customer's last message, and outside that window, business-initiated messages need an approved template. That's a WhatsApp platform rule, not something SurveyKar can bypass, so reminders sent outside that window should use a template too. And don't promise an in-chat calendar. Tell your customers upfront that they'll tap a link and book on a page, not pick a date inside the WhatsApp message itself, and you won't get an awkward "wait, where's the calendar?" reply.

    Try it

Set up your appointment types and availability in Bookings, connect your number in WhatsApp CRM, then wire a "Booking created" trigger to a WhatsApp confirmation so those 2 pieces work together automatically, in about 3 steps total.

Ready to stop manually texting booking confirmations? Set up Bookings and WhatsApp CRM on SurveyKar and let the automation send the messages for you.

    Frequently asked questions

No. The calendar and availability logic live in 1 place, the booking page. WhatsApp is used to share the link, confirm the booking, send reminders and handle follow-up messages, not to render a date picker inside a chat bubble.

Yes, through the booking page itself, Razorpay checkout at scheduling time, with the slot held for 10 minutes while payment completes and released automatically if it doesn't. The WhatsApp message just carries the link to that page.

Every confirmed booking includes a secure manage link, so they can reschedule or cancel themselves without a back-and-forth message thread.

If you're the one starting the message, rather than replying within 24 hours of their last message, yes, business-initiated WhatsApp messages require an approved template.

Yes. All 3 booking events, created, cancelled, rescheduled, can each trigger their own automation flow with a "Send WhatsApp" action.
